Hardware Asset Management Policy

Purpose:
The purpose of this policy is to ensure that all hardware assets are managed effectively and responsibly, to prevent misuse, damage, or loss, and to maximize the lifespan and utility of these assets.

Scope:
This policy applies to all employees, contractors, and temporary staff who use company-provided hardware assets.

Responsibilities:

Asset Assignment:

Each employee is assigned specific hardware (laptops, desktops, mobile devices, etc.) which is logged in the company’s asset management system.
Employees must acknowledge receipt of the hardware by signing the Hardware Asset Receipt Form.

Care and Maintenance:

Employees are responsible for the care and maintenance of the hardware assigned to them.
Hardware should be handled carefully to avoid damage. This includes keeping devices away from food, drinks, and extreme temperatures.
Regular updates and antivirus software must be maintained on all company hardware.
Usage Guidelines:
Hardware assets are to be used for business purposes only. Personal use should be limited and must not interfere with job responsibilities or company operations.
Downloading or installing unauthorized software is prohibited.
Employees must adhere to the company’s internet and email usage policies while using company hardware.

Security:
Employees must ensure that hardware is secured with strong passwords and locked when not in use.

Reporting Issues:
