Dear all, We are doing increments for all levels of staff in our school institution. For salary calculation, we will take 26 days of every month into consideration. My senior hierarchy is requesting to give a letter of increment for all the staff and also for housekeeping staff by including the terms and conditions of the following in the same.
1. 3 months' notice if an employee leaves the institution or else three months' pay has to be given. Please let me know, Is it necessary to include this point? Kindly clarify.
Please send me a draft of the increment letter for housekeeping, drivers, teaching and non-teaching staff.

Before venturing to give an increment letter, check whether your management agrees to it. Also, is there a notice period mentioned in the appointment order or elsewhere?

Hi,

For salary calculation you need to take the whole month. You mean to say you are excluding Sundays?. If so, Sundays are also paid holidays only.

For House keeping whether they are in house staff or employed by external House keeping agency ?

If Appointment letter is already issued to House Keeping/Driver / non teaching staff then you may issue increment letter for them.

With regard to 3 months notice period or pay I think you are referring to increment reversal clause ? In case of resignation within three months from the effective date of increment either 3 months pay will be reversed or employee need to give 3 months notice ? What was the separation clause mentioned in the initial appointment letter ?

There is no standard format for increment letters. You can develop by yourself and present here for any modification if required.

There are different method of paying salary /wages. It may be hourly rated, daily rated or monthly rated. Therefore, increment letter should be based on that. Increment either in hourly rate or in daily rate or in monthly rate.

It also appears that notice period may be inducted in the increment letter. If it is not with original appointment letter, it can be introduced in the increment letter - there is no harm.

The draft may be :-

We are glad to inform you that your salary/wages has been increased ( per hour / per day / per month ) wef ........................

We would also like to mention that your notice period for leaving the services of the organization will be 3 months or in lieu 3 months' monthly gross salary/wages will be required to pay. For hourly rated staff monthly salary /wages will be hourly rate multiplied by 208 and for daily dated -the daily rate should be multiplied by 26 and for monthly rated staff it is already monthly rate.
