Hi
Please help me out on this.
One candidate has been selected by our client thru us. Now the client wants commitment from us that candidate should join whatever date he has given. The problem is client has forwarded the offer letter to the candidate by email.
Now the problem is candidate is not resigning from his current company. He is saying unless I get hardcopy from them I won't resign. My problem is unless he resigns I cannot do background check and can't commit to client that he will be joining on particular date as I can't do any inquiry on the candidate.
Plz.... suggest what should I do?

Dear Sujata,
Usually the Consultants role would be of prime importance in such situations. They should be able to speak to the Client & the candidate so that both arrive at a common platform.
I understand that this can be done by a smart negotiation with the Company in favor of the Candidate & with the Candidate in favor of the company.
Hope this gives you adequate info to deal on either sides.

Thanks for your reply.
The problem is the person concern from company is saying we have already offered him through email then why he is showing attitude that he wants hardcopy and the candidate is stick to his statement. He will not join unless gets offer in written.
I don't know what to do. plz... if you could suggest somehing on this.
I have spoken to both. They both are not understanding me :cry:

Hi,
I think the candidate is very right in his stand that he needs a hard copy of the offer letter signed by the company for him to resign from the current organisation; what with a lot of email spoofs happening all the time.
Y is the company hesitant is forwarding a signed hard copy of the offer letter. I smell something wrong here. I would say the company has an attitude. I would suggest you speak to the company and tell them that for the candidate it is career and livelihood which is at stake and therefore he is right in saying that he will not put in his papers until he has the hard copy of the offer letter in his hand.
You need to be firm and assertive in such cases

Hi Sherine Thanks a lot for your reply but company is brand name in the Industry. I don’t think they will cheat the candidate but candidate is not understanding this. Regards Sujata

Dear Sujata,
The company has to be loyal in sending the signed hard-copy of the offer letter to the deserving Offered candidate. Its the sole responsibility of the Company personnel, if they are hesitant doing that, it means you should be able to escalate this fix to a senior person with your client.
I would also suggest to have a word from one of the Senior person from your company speaking to the concerned responsible person at the Client's place.
As far as i understand the Candidate is right with his current opinion. I would suggest thorough discussion with the Client rather than other available options.

Hello,
Many companies issue hard copy of offer letter only after they get a confirmed date from candidate. This is because they mention the date of joining on the letter. The candidate can trust the email offer and can go ahead - reputed companies do not go back on offers. You can convince your candidate to accept the offer.

Dear Sid, Sujata and other members,

The normal practice as far as I know is that during the final discussions before the offer letter is released, both the prospect and the company come to an agreement on the prospect's likely date of join. The offer letter would be mentioning either the date so agreed or a date a week to 10 days later to that date for the prospect to have some breathing space.

Also, once the offer letter is ready, both the email and the snail mail are released simultaneously for the prospect to start his resignation and relieving formalities process. Remember, it is not either email or snail mail. But, the general practice is to send both the soft as well as hard copies of the offer letter.

Also, as Sherine points out, there are cases (yes, even branded names also) where there has been a major difference between the soft and hard copies of the offer letter. As such, it is right on the part of the prospect to insist on getting a hard copy of the offer letter.

Sujata, probably you can again talk to your client company and impress on them the feelings of the prospect and get them to release the hard copy. If they are not willing to that, you can either talk to your senior at your office and ask him to talk to his counterpart at your client's place relating to this situation. If even this does not work out, then you can tell your client to forget about that particular prospect and start working on an alternative for that prospect.

Dear Sujata
Hard copy with office copy duly signed by candidate is standard procedure and not negotiable anywhere. Whether company is Tata or Infosys. Be frank and explain to company HR that just to satisfy yourself you have checked in market and this is not done anywhere in the world.
