Thats a gr8 thing u hav done by sharing the SAP HR folder of urs as I was supposed to do it but some financial limitations.
Is it the complete matter of SAP HR covered?
Can u mail me the same stuff on my mail id....

There cannot be any universal and single format or sample letter which could be used as model letter of correspondence.
Every organisation has a way to handle the administrative works which includes report and feedback from the employees.
But some simple basics have to be followed necesarily irrespective of size of the orgaanisation;
1. Be pollute defenitely if you are to correspond with your superior.
2. If the letter or e-mail is to be sent to Director level personnel deal specifics with data and double check the data or statistics before submitting to them. The reason is that if there is an error their decision process will be delayed or faulted. They rely on the figures or inputs given by the people who execute their directives.
3. Always end up with positive note.
4. Wherevery need be offer sollutions or recommendations.
5. Do not forget to be precise however lengthy the context may be.
6. Somehow the idea of addressing the superior by name has been accepted in our industries thanks to the MNC culture, atleast where it is circulated to many people of different age groups and experience address them by sir/madam.
In my experience most of the so called qualified people or managers do not have the drafting or reporting capabalities because they are habitituted to use short or sms language. A language or communication in formal set up especially in written form will not be complete with shortened or cranky words with inappropriate grammer usage.
