Dear Seniors,

Here I need your help, I am working in a MNC as an Administrator.
we have a cafeteria where every day we get lots of complaints with regards to food variety, food quality & quantity. so can anyone please suggest me how to cope these issues?

Hope you have given the Cafetaria on Contract and the Contractor only running the show. What are the terms and conditions you made with the contractor to run the cafetaria.

Is the food prepared are coming to your or the person designated by you's table for tasting the quality. If so, there will not be any quality issue on the food.

About the quantity of the food, you must make the price list and the quantity (Tea - 120 ml - Rs.5/-, Coffee - 125 ml - Rs.7/-, Samosa - 75 gms/pc - Rs.5/-) and get it approved from the GM or your Branch Head and keep the copy of the same in your records and display the same in the Cafetaria.

The Price can be fixed on the basis of the Subsidy / subsidized materials you are supplying to the cafetaria. As a matter of fact even you can ask the books of accounts being maintained by the contractor (Like purchase of materials (with supporting bills), Wages paid to the canteen employees, Attendance Record of the Canteen employees + the Profit of the Contractor). Hope you will be issuing free Gas supply, Water and electricity and rend free canteen space with well maintained / established cooking space and a decent dining hall.

Atleast visit the cafetaria atleast weekly twice and check for the cleanliness and that time itself you can even enquire the employees eating the food stuff about the quantity and quality. You can immediately call the contractor or the Cafetaria In Charge and infront of them you can even give clear instruction and make them alright. If you do so, the matter will not come that much big and upto complaint level.

Take care when the issue is in small level.

When we stop applying our mind than suggestions starts pouring in from each corner. Each member, with good intentions of helping you out will give ideas based on pre conceived notions.
Better is interact with stake holders who are complaining and try to gather real genuine issues that are bothering them.
And of course yes, when did you last sat with this poor canteen contractor like a friend? If not do it immediately now before shooting any sermons.... Know what are his issues? Try to match both amicably to find a mutually acceptable long term solution.

Dear Mr. Sharma

We are only giving them a thought to consider in this aspect also and not that the seeker has to follow our instruction.

Normally the contractors are making inordinant profit from the small cafetaria by not taking care of the employees deployed by them and even compromising the quality of the food materials. That's the reason I instructed to visit weekly twice to the cafetaria and check the quantity and quality of food products as well as the cleanliness of the cafetaria. If the Administrator maintains the food tasting register and regularly if some managerial cadre taste the food and write the remarks regularly, then do you think this type of complaints will arise?

We are here to take care of the employees and not the contractors. If the contractor is doing correctly, then there will not be any issue at all. If any staff create any problem in the cafetaria, surely that issue might have taken up by the Cafetaria contractor. If he does not turn means he is not having any problem.

So you might have understood, why we are giving such reply.

Appreciate your views - Mr. Bhaskar on my concern!
Here I would like to answer your queries,
*Yes our cafeteria is running by a contract vendor (terms & conditions are Infinite; in short we can terminate the contract at anytime in case of poor services).
*So far we haven't started this practice of Tasting food before it served, but after am sure this will help us to cope.
*we do take frequent round of café in day & for feedback we have placed an feedback box, wherein people pour their feedbacks post which we work towards the resolution.
Also we are planning to form a food committee, basically it will a group mix of operational as well as support folks, so as to take joint decision over any issues of café – pls suggest how does it sounds?

Please do not form any committee. If you do so, then they will talk and make a big list and they will make you to run. So keep everything in your control. You can discuss with your management and implement the genuine feedback given by the employees. They will ask for some special dishes. If you provide then they will complain it is very costly. If the prepared food goes waste, who will bear the loss. Please think in that angle also. We are here to implement the welfare of our employees as well to ease the contractor to give effective output within the available resources.
Please make the Food Tasting Register, daily it has to go to one section in charge as per your instruction and not on routine basis, after tasting he will write his remarks and any corrective action requires, it will be done by the canteen authorities and finally you will check it and initial over that and close the issue.

As he rightly put it, for an HR / Admin chief, the foremost responsibilty is towards the interest of company employees and in this direction the suggestions given by him deserve all considreation. Whether one wants to follow the same or not is upto ones discretion and expressing critical remarks on the suggestions given are not in good taste. Please refrain from such remarks as it will not contribute to the HR community's good relationship. If you still want to maintain your stand, it is your will and wish !

People will be people.Food cannot be prepared to fancy everyone's will and wishes.On our part we have to ensure that the food is hygienic and has some standard taste. Statements like the contractor can be terminated any time or we will care only for my staff and not the contractor are odd.We have to learn to earn people,built up their confidence,support them to grow and then take decisions.Also one more important point,please learn to keep your staff in control as well.My experience of the last few years is that a food committee works better.

Dear Mr. Jacob

The food Committee will work better where you have given good infrastructure to the canteen (Kitchen, Dining Hall, Wash Area, Wash Basin, Adequate Lighting arrangement, Clean Potable Drinking Water, Uniform to the Food Handlers & Cooks) and materials on subsidised price for preparation of food. It is possible in IT industries and in Manufacturing Industries and it is not at all possible to procure the same in Mines, Construction Industries. The majority work force is illiterates and it is not possible to have such food committee. Only the IR / Admin Department have to take care of the quality and quantity of the food being served. To ensure the same they have to visit the canteen and check for the same.

Whoever having the problem they only normally go and complain to the concerned. Once the majority of employees complaining means there is some problem with the Contractor. So we have to have a thorough check on the system, food quality and quantity, cleanliness, pricing to clear the issue.

We have to analyse the issue and not the person.
