Dear Senior HR,
I have been sending out the formal mail to the employees a day before the management declared holiday. Some people raise objection regarding the same.
So please let me know should we send out the official mail regarding the management declared holidays, just a day before the holiday or not.
Warm Regards,
From India, Mumbai

Dear Ms. Sweta1,
Some one is scheduled tomorrow to meet you at your office, lets say from a Income Tax department and a mail flows swiftly declaring a Holiday tomorrow on some occassion... What would you do? [The company you are working matters]
Critical areas pertaining to process & rules have been decided & declared earlier to avoid any sort of discripencies at work place. It's not just the Government offices, this goes even with the Private & other sectors too. Being a HR it should be of dire responsibility to seek challenges before hand. If the management forces to declare any holiday pertaining to workforce-- an Inter Office Communication (IOC) with acknowledgement is the bestest option above all. People scheduled to their daily routine will have no barriers. They don't knock over you.
A recent incident ensued past week 9th April '13, a holiday declared on account of AP Bandh for Government raising heavy charges on Electricity, which was declared a week before the Bandh took place. There are also many incidents that throw us light on abrupt holidays, in such cases you have nothing but to say HOLIDAY DECLARED BY THE MANAGEMENT!
P.S: IOC can be sent to the HOD's, Senior personnels for their team initials. An email can then be circulated 24 hours prior to the unintended holiday.

if there is going to be any any change in the normal schedule and you have adequate time to communicate such change, it is always better to put the employees on notice of the change well in advance whether it is about holiday or workng day or any other. If the change crops suddenly leaving not much time for you to give an advance notice, you have no option but to communicate such change as early as possible making best of the modern communication tools like SMS etc. Thus there is no hard and fast rule with regard to advance notice of holiday if it is a normal administrative decision and is guided by the principles of expediency and reasonablness.

Dear Friend,
The Holidays are an important part of any employees life and I have never seen any company which keeps it's holidays confidential or uncertain. Its better for your staff and customers if you declare list at least major one in the 1st week of January itself. The other holidays like Id etc or any special holidays may be granted or advised one or two days in advance. This will help your staff to plan & utilize their holidays properly. On other side if you follow this practice you wont be loosing any thing. Dear friend if you expect good performance from your workers you to have to contribute what ever best you can and am sure by declaring the list you are not going to loose any thing. This will just make you more professional and worker oriented. Just think.

Dont you have an annual holiday calendar , stating all the declared holiday ? Consider making it available to the employees either on the notice board or on the Intranet ?

Hi Sweta,
No need to think of specially for the holidays. If u post the holidays list both National holidays and Management declared holidays in the notice board, the matter is over. And further the employees working in the branches or any other,,, for them u have to send the scanned copy of list of holidays to the branch mail id's.
The extra holidays which is given due to some special occasion and on bandh like (which is declared one day before ... then u have to inform through official mail or circulate every one.
