At a HR Manager level, I would be expecting you to have the skills to write a simple email.

Thank the college, appreciate their efforts to help you, advise that you found other more suitable candidates on this occasion but look forward to working with them again in the future. Ask them to thank the candidates for applying. Put those ideas into your own words and write your email. Make sure you check the spelling and punctuation, check that names are spelt correctly, and don't send it till you are happy with it.

You are not writing War and Peace, it's an email. It is not difficult to write a friendly and sincere email to someone and maintain a good working relationship with them.

Dear Shikha Sharma,

Mr.John has given some valid views and I hope you have followed his suggestion.

In the meantime, please concentrate on improving your language skills.

In your message you have written
“We have to sent official…..
The correct writing is
“ We have to send official…”

Again you have written “ without destroy healthy…”
This should be ‘ without destroying the the healthy….’

Please know that your letter carries the image of your organisation. The letter should be simple, correct, and indicate your continued interest in the college.
