Dear Seniors,
Our accountant was given the responsibility to see all the duties relating to accounts as well as taking care of bonds and vouchers and to look how much amount of ERV has to be given to customers and taking care of all the activities.
Yesterday I saw the bonds and vouchers file kept outside and being a hr I took the file kept inside and one thing I had done is I locked the desk and forgot the keys on my table, later he searched the file and took the file from my desk. What action could be taken on this person.
Please can you suggest.

You can have a talk with him and explain him why you kept the file inside.
explain him regarding his responsibilites and care what he has to take while
at work.
if still No improvement then you can give him in written . ( but if you start with written
you should have proof of your saying ) .

just read your post here
it was very irresponsible act done by an as said responsible staff of yours,
You should instantly issue him a notice telling clearly about the irresponsibility performed by him on such important matter, as if any important document,bonds is misplaced/theft some how then who was the person to take all loss from such act or responsibility
issue him notice declaring the seriousness of matte, and ask him to give written declaration from his side with in time frame addressing his fault and act of irresponsibility towards companies assets, important documents.
Definitely it would be a good message regarding code of conduct to him as well as other staff to avoid such risks by any employees ...

Do you mean to say that you locked the file in your desk, and that he took your desk keys and open your locked drawers and took out the file and relocked your desk?

I kept the key there locking the desk. After searching all over he opened the desk with the keys kept over there and took the file and kept the keys over there and the receptionist took the keys and handed over to the CEO saying that HR madam forgot the keys. This opening of desk had been done before all the staff. How should I respond to this.

it is very funny situation that your accountant kept the bond and voucher file open at his desk, but has not left the organisation for the day. You in turn took the file and locked it in your desk assuming the carelessness done by the accountant in a good note, but you also showed your carelessness that you locked the file in your desk but forgot the keys on your desk and left for the day. Here the question is who is more careless. Before pointing out the mistake of others lets be the first person to be an example in the company as a responsible HR Personnel.
