Hi friends,
I am working in a small IT firm which is into website and application designing, having employee strength of 16. Till now there is no standard procedure for any HR function but looking at companies growth rate there is a need of starting HR practices.Please help me to understand how can I start with all HR functions?

Hi

1) HR Policy guide

First of all you should define the HR policy with the managements consent such as Travel Policy, Dress code policy, Attendance Policy, Leave policy, Office telephone usage policy, Mobile usage policy etc. On approval of management and you can include in the HR policy guide.

2) Payroll Processing.

To initiate payroll you should have to learn statutory such as ESI, PF, PT, knowledge of Income tax & other statutory

3) Performance management.

There are many types of appraisals such as 90, 180 & 360 degree appraisals, Fish theory etc. There are many templates available in the blog to apply the same.

4) Documentation for personnel file

As for end to end recruitment you may have to prepare some standard templates as Application forms, Candidate evaluation forms both technical & HR, Confidentiality agreement, Offer letter, Appointment letter, Salary structure, Induction record, Training records, skill matrix, and templates for seperation

5) Leave structure

You may have to prepare the leave policy. There are set of mandatory leaves as EL/PL & Sick Leaves as per the statutory. You please check with leave with wages act for Maharastra. You can get those from Maharastra labour act also. Apart from that management can even provide additional leaves such as Casual leave and additional sick leaves, Education leaves etc as management wishes

6) Labour law.

As you mentioned the total employment is 16 you may have to enroll with ESI, PF. All the software companies comes under purview of Shops & commercial establishment act, I hope already you will be having certificate form shops & commercial establishment (Labour Certificate), Professional Tax certificate. You may even have to take the trade licence from the city municipal corporation.

You may have to follow other acts such as Gratuity act, Minimum wages act, Leave with wages act, Maternity Benefit act, Bonus Act etc

I appreciate the inputs given by Mr. Jeevarathnam. As per law eligiblity criteria for Earned leave. Other leaves like Casual Leave and Sickleave subject to management decision as per the policies. Gratuity subject to completion of 5 years 1 day. However ESI, PF, PT needs to be maintained by you as per the existing strength (more than 10 employees). Initially you can outsource these activities and slowly that can be managed within the company.

It is registered PVT LTD company or partnership firm?

First of all read all Labor Law and discuss with various people to know what exactly Law is saying. Do not get confuse while working on Labor Laws.

2nd out source salary to any vendor they will charge you 4000 to 6000 per month for first 30 employees, so you can more concentrate on your HR practice.

Now visualize what kind of policies are there in market and which are the best for your organisation, ( Do Addition//Deletion) ( First work on Leave Policy, Work from Home, )

Prepare company manual and ask existing employees to work on that. Also give copy of manual to every new joiner now onward to reduce your policy and administrative work,

Spend your major time on PF, ESIC, Gratuity, MLWF related work to secure your director from legal issues. " DO NOT IGNORE PF/ESIC/GRATUITY/MLWF.

Before taking any step study all pros and cons and communicate to your management team otherwise they will laugh on you... Your own study only can help you to grow with your organisation.
