I am a hr executive in a IT company and in my company most of employees goes out side in lunch time without given any information to hr so please tell me what steps should be taken or if i gave notice mail so by which polite language be used .

Hi sapna
First of all take a small meeting and tell all.
Or
Write a ciruclar saying "Please be noted that few employees
are going on lunch without intimation which is causing inconvienance.
All are requested to intimate before going "
Or
Just paste it on notice the lunch timing

Curious... Does your company have an HR policy that the employees must not go out for lunch or during lunch hour? What is causing the need to send such a notice?
Typically, most people run errands (or attend to their personal life needs, such as paying bills, running to the post office, going to the bank etc.) during lunch hour. They take the stipulated one hour lunch and do their personal work that is required and can be done only during normal business hours. I don't see that as a problem. As a matter of fact, it is a good thing (the business does not suffer and the employees' personal lives do not suffer either).
Now, if some employees are clocking 8 hours of work and taking two or three hours lunch regularly to do their personal work, then that is a problem and must be addressed by the HR (or the managers of such employees, on case by case basis). Otherwise, I don't see a need to notify HR every time I decide to go have lunch outside the office in a restaurant. Do you?

Do you want them to take permision of HR or informing HR, if they go out for luch during lunch time? or they go early and come back late or after lunch hours? Pl. clarify.

1.Inform the same thing to your HR/Ops Manager.
2.Let your HR/Ops Manager address them reg the circular etc.
3.You should be close to employees and has to convey them, Management is serious about your timings, they are going to take serious action against that etc..,
You don't forget that you are Executive(you can't take desissions), HR is only supporting

I am working with BPO industry. The management hired me for the preparation of salary & wages, Induction, Time & attendance, now recruitment part is also assigned to me. I am the only person to take care of the same.
Senior people in the management sometimes deduct salary for the days an employee is absent & sometimes pays full even if an employee does not have leave bal.
Whenever the salary sheet is prepared I can find many changes.
How do i deal with my seniors, they are unpredictable. can anybody rescue me out of this.

As a HR person i think you have to find the reason ,
1.why they are going out side? and wt will be the alternative?
2. you have to discuss with them that wt problem you are facing if they go out side.(can be included in the notice board)

2) If you alone taking care of HR , then prepare a note as mentioned below and take the approval of branch head and circulate. Take their signatures confirming their knowledge about the policy and consequent actions( If you do not have electronic punching machine which can give you all the details) .
"All the employees are hereby requested to proceed out during lunch period informing the HR in the prescribed format and is mandatory". Deviation of the policy is viewed as a disciplinary matter and appropriate action will be initiated against the employees"
Prepare a format indicating the person's name , time out,time in, signature of the employee, Approval of HOD, and HR signature.
