Hello Seniors,
Can you let me know on how do companies (specifically pharma) inform their employees about their LTA, leave Policy and other policies and all, to the confirmed employees. Is it informed simply through an email or a detailed copy of the policy given to the employee in hard copy or soft copy? Please address me on it, as our company is new and I also have no experience for the same..

The Leave Details and LTA published in Employee Handbook, you can circulate it through email also. The basic is that the employees are well aware of the policies. It can be fixed on the Notice Board too.

If the employees are large in number, then transmitting the policy through a circular is ideal (if there is no hand book) while putting up a notice drawing the attention of the employees to this circular on the notice board as suggested by Saji.

If your company is big and employee strength is sizable, it is suggested to not to put Personnel Policies
in Notice Board. Personnel Policies are a confidential document and all policies to be serially numbered with
Indexed suitably and keep together in a good hard binded /.leather binded folder. One copy of folder to be
kept in the custody of Chief Executive officer/MD and other copy with HR manager.
Personnel policies should not be treated as a book for reference by all employees. Only HODS should get
access to it. Salient features of each and every policy should be communicated to employees through HOD
(Head of Department) and interpretation of policies should be done by HR Head.& HODs.
Communication could be sent by way of circulars to all departments, at regular interval alongwith
any modification to the policies.

I would like to add to what learned member Mr.R.K Nair said. If the personnel policies are of confidential nature, the HR shall maintain confidentiality about them.However all policies will not be of confidential nature and the member posting the query has sought to know about the means of transmitting information to employees about policies like LTA and Leave.The employees need to be informed about these policies since they should know what is their entitlement and the procedure to be followed to avail these benefits.Hence an appropriate means like hand book or circular or notice board were suggested by members.This is only a clarification keeping in view the limited purpose of the query.

I refer to Mr.Sasikumar's comment on my posting. Once again it is clarified that personnel policies should be
treated in such a way that the content of the policies should not be interpretted, administered and executed
by employees to their advantage. Hence it is necessary to maintain the confidentiality and Heads of Department
should be prudent in administering the personnel policies so that the very purpose of devising the policy should be
safeguarded and organisation's interest should be taken care off.
To illustrate, if an employee wants to know his eligibility for official travel, he should be informed about the
eligibility of his category of employees only, while performing official travel. Entire policy he need not refer to/nor
he need not know the entitlement of other senior employees,

I worked in many reputed organisations (top 10). My views and experience.
1. Travel polices are posted in intranet for various categories. Any employee can access. No confidentiality.
2. Leave policies are common and open for all employees on intranet.
3. In CTC regime, LTA amount and entitlement varies and kept confidentially. Only HR & employee knows it.

I also strongly agree with Mr. Pon & Saikumar, I worked with NOKIA where all employee related policies were posted in Intranet. Confidential Matters are not disclosed in Policies, Policies are meant to be disclosed/implemented for a professional environment.

I have no other view other than what I have stated earlier. I worked with Auto Majors/MNCs
like Ashok Leyland, where the same procedures were followed. As management style differs
from company to company, different views are available on the same subject.
