Dear Sir, Can any one share & explain what are factors ( Check List ) to be followed while writing show cause notice to the employee. Regards Siva

Dear Siva,
While issuing the show cause notice follow the following guidelines:
a) While addressing write employee's name and Employee No
b) Write the Subject Heading as "Show Cause Notice"
c) Do not write "Dear Mr/Ms ______"
d) In the first paragraph, just state the facts. Stating facts means what happened, where happened, who were the primary parties, who noticed deficiency or shortage of something etc
e) In the second paragraph, write the consequences because of the wrong action of the employee mentioned in first paragraph.
f) In the third paragraph, write how wrong action or default of the employee contravened some act or policy or SOP etc
g) In the last paragraph, ask explanation for the misconduct. Give time limit by which you want to receive the explanation. Generally, minimum 48 hours are provided to give the explanation.
h) While closing the notice, do not write "Thanks", "Regards" etc.
