Dear Vaishnavi,

Please have all the employees' paysheets readily available for their inspection. Ensure that the remittance challans are organized month-wise, and the details of member-wise contributions are neatly filed from the beginning of the organization or the start of contributions. The attendance register of all employees should also match the paysheet in case they are paid on a daily wages basis.

Additionally, they will expect some important documents (details explained by Koundamani in the movie "Indian") in an envelope. If they are satisfied with the contents of the envelope, they will not raise any other questions.

Don't forget to obtain signatures from the inspecting authorities in the inspection register, paysheet, attendance register, and any other relevant registers for your record-keeping purposes.

Dear Baskar,

Tomorrow is the first time the employees are coming from the ESI office. I have to maintain the attendance register. I have already collected ESI and PF from the employees and registered the details online. I also have the ESI numbers for the registered employees.

At this stage, what else do I need to maintain?

Maintain the same even in a register/file too because we cannot have faith in the system at all times. Keep the monthly challans duly paid and acknowledged by the bank and ESI Office along with PF too. Please keep the Audited Annual Financial Report (Balance sheet, P&L Accounts, and whatever it may be) of your company since its inception. Keep the Paysheet too for verification of the same. Do not show any tension on your face. Approach with a smiling face, and in case of any query or observation, seek their help and ask them how to sort out the observation. If they understand that there was no fraud that took place in remittance or in joining, then they will not ask for any other details. Wish you all the best, Vaishnavi.

That's nice, Vaishnavi. That's the reason I told you not to have tension. You just simply seek guidance from them on what documents are required for the annual audit being conducted by the ESI People. Please create a separate thread regarding that, which will be helpful to all our members.
