The appointment is the document that you have to issue immediately upon the joining of the employee or at most within a week's time. The letter that you have to issue after the completion of the probation period is the confirmation letter. The appointment letter serves as the foundational document for the relationship between the employee and the organization. Based on the appointment letter and the Annexure of the salary, only the Accounts/Finance/Payroll section will prepare and disburse the salary.

I concur with Mr. Kamesh. The reason for issuing an appointment letter either before or at the time of joining is that employment is not a bounty but a contract within the meaning of the Indian Contract Act. For a contract to fructify, there should be an offer of proposal and acceptance thereof, and there should be terms for both parties to fulfill under the contract. Therefore, an appointment letter is the basis of the contract and shall, as far as possible, be given at least at the time of joining.
