Hi Munali, Generally the offer letter will be on letter head only hence the logo etc will be there on letter head. If it is electronic then there is no possibility. Regards - kamesh

Instead of sending an email directly or in PDF format, it is always better to send a scanned copy that is duly typed on the letterhead and signed by the competent authority. The same original can be given to the employee whenever they approach after obtaining an acknowledgment so that you can file it in his/her personal file.

These are all very important documents; hence, it is better to obtain the competent authority's signature, scan it, and forward or courier it.

In my opinion, it is not required to have a logo on the offer letter if sent through email, as we would be sending it from our official email ID. Always send the offer in PDF format. We can't do anything if the candidate does not join, but you should make sure, after sending the offer to that candidate, that he has resigned from his current company. As we generally mention the list of documents to be submitted at the time of joining, add a line stating that the accepted copy of the resignation letter would be required soon after the candidate resigns from his/her current organization. Ask for the accepted copy of the resignation to make sure that the candidate would join. Even after all this, the candidate may not join, but from an HR point of view, we have done our best.

My company has decided to hire employees on a contract basis of one year. I would like to have the format of a bond for the same where we can prevent the backouts and also restrict the new hires to be available on the project as per their confirmations.

I would like to share my ideas on the process I use when appointing any employee.

Firstly, why waste hard copies and papers? Send the offer letter through email initially, and provide a hard copy once you are certain that the candidate is accepting the offer.

There is no hard and fast rule that a logo must be included. A logo simply represents your organization's brand name. The letterhead is crucial, so prioritize the letterhead and company stamp. An offer letter without a logo is still valid, but documents without a letterhead and stamp are considered invalid.

Even though a PDF format is not mandatory, it should be noted that PDF files can be easily downloaded and converted to Word for free using online document converters. If you are concerned about editing, you can utilize a basic Word file with some read-only formatting.

I agree that the professional way is to include the logo on the letterhead.

During candidate interviews, I present them with these options.

A security deposit of 10 to 15% of the first three months' salary will be deducted, to be returned only after a specified period or at the time of full and final settlement. If an employee leaves without proper notice, this deposit will not be refunded. The notice period is a minimum of 60 days and negotiable to 30 days. (Everyone seeks growth, but we cannot risk our business.)

Candidates who hesitate to accept these terms are scrutinized more closely, and background checks are initiated, as these individuals often pose future challenges.

This approach has proven effective in my business, so I continue to implement it.
