- The employee handbook needs to be uploaded as a PDF file which is locked for editing. This file can be opened on the intranet but should not have the download option.
- Birthdays are generally displayed as a widget, either as words running on the top toolbar of your intranet page, or you may create a separate page for wishes, including birthdays, anniversaries, promotions, and education/certification completions. Here, you can add a picture of the employee with the wish. It creates meaningful visibility for them.

1. Employee Wishes:
You can introduce a scroll bar on the left side of your application. All employees' birthdays, anniversaries, announcements, achievements, rewards, etc., can be scrolled as a bulletin.
Alternatively,
Ask your developer to link it in such a way that after you enter the respective employee's birthday/anniversary in their employee record, it automatically triggers a pre-recorded email to their email address and cc to the other employees of your company on that particular day.
2. Policies:
I feel it's better to upload individual policies rather than dumping them all in a single PDF. You can split policies into two categories: Employee Benefits and Company Policy.
Employees can only view the policy, whereas the admin has the rights to modify it. This way, employees get a clear view of all the company's policies, and it becomes easy for them to go through. Make sure that employees can neither copy nor download the policies.
3. Employee Record:
This is for HR use. Every employee should have a separate record covering all the necessary information such as Employee ID, First Name, Last Name, Middle Name, Date of Joining (DOJ), Date of Birth, Designation, Department, Bank Account number, Bank Name, Password, Employee type, Confirmation date, Pay Mode, Father's Name and Occupation, Mother's Name and Occupation, Marital Status, Marriage Date, Spouse Name and Occupation, Spouse DOB, Native place, Child 1 & 2 History, Address for communication, Permanent Address, Mobile number, Emergency Contact number, Email id, Gender, Pan No., Passport No., Place of issue, Date of issue, Expiry date, Countries worked, Extracurricular activities, Last worked companies, Comments given during the interview process, latest profile, Employee Active: Yes (or) No, Language skills, Blood Group, Height, Weight, Health issues if any, Physical disability, etc.
4. Leave History:
HR/Admin credits the allocated leave for the employee for the respective year. Employees can view the number of leaves allocated to them/carried forward leave.
5. Forms:
It consists of both Leave and Permission forms. If it is a leave form, it includes Total leave details, Availed leave for this year, Leave required - No. of days, Date, Leave Mode, Reason, Apply.
The Permission form consists of Date, Time, Total hours, Reason, and Apply.
6. Status:
Here employees can view their leave and permission status.
For leave status, it includes S.No, Days, From, To, Leave Mode, Reason, Status, Remarks.
For Permission status, it includes S.No, Date, From time, To time, Hours, Reason, Status, Remarks.
7. Holiday List:
It displays all the paid holidays declared by the company. It consists of S.No, List of Holidays, Date, and Day.
8. Time Sheet:
Here employees can update their daily tasks. They have to choose their employee code, Department, From date, To date, Number of hours worked, Tasks contributed, Submit. HR can download all employees' timesheets if needed.
9. Payroll and Payslip:
Whenever HR runs the payroll, an automatically generated payslip is displayed in the payslip menu of the Application. Employees can download their payslips from the application.
10. Circular:
HR can send circulars to all employees from the application. This page consists of From email id, Subject, Content, Send.
11. Bulletin:
HR can choose the content they want to scroll on the left page of the home page. Whatever is typed in the bulletin column will be scrolled on the home page.
12. Suggestions:
Employees can send their feedback and suggestions on how to make the application even more user-friendly, report bugs that need fixing, suggest new implementations, etc.
