How big is your company ?? In big organisations & Industries HR issed Employee Handbook which can be printed and can get the signature on the Last page as acceptance, which includes all rules you mentioned apart from that you have the leaves, harrassments, Uniforms, cafetaria policy etc in that Handbook, for help you can type your query Emaployee Handbook in research and you will get the help needed

Megha, the requirement of your boss is genuine. But to meet the same easily, Employee Hand Book (as a document) has to be kept on your automated HR Platform. The same will be visible on Employee Portal at all times. A facility can be created to make the employee Sign Off having read all pages as on (dd mm yy). If any changes are made in the Hand Book, an e-mail would automatically go to all employees & the Sign Off process could be repeated. The system would maintain a log every time the Hand Book is opened by an employee.
If your boss is interested in automation of the HR function, you may search on the web for EmpXtrack & initiate your follow up request.

Dear Megha,
You have to obtain signatures of each of the employee s on the letterhead. However, some of the employees may create a problem for you that they will sign only after going through all rules. It will be appropriate to take your boss in confidence and devise an induction booklet to dish them out and then take their acceptance in line with my other colleagues above.
