When one of my staff makes a mistake in behavior, what should I do? Should I reprimand someone? A coworker mentioned that HR should be the one to issue a memorandum. What steps should I take? Thanks, more power.

When you ask a query in a general forum, basic courtesy demands disclosure of your name, designation, and the type of your company. You want seniors to provide a solution but do not want to share anything about yourself!

Regarding your query now, I recommend following the principles of "progressive discipline." Initially, call the employee to the HR department, understand why the employee committed that mistake, and then offer advice. Maintain records of what transpired in this meeting.

If the employee continues to commit the same mistake, you have the option of counseling by a more senior authority. Again, maintain proper records.

If the employee persists in making the same mistake, issue a warning letter, citing past instances of counseling. Ensure this warning letter is signed by someone in a higher position, such as a GM, VP, Director, etc.

If the employee remains defiant, then issue a show cause notice, citing details of the fresh mistakes and past correspondence with them.

If the employee still does not improve, conduct an inquiry. Give them a chance to explain their position, and then take disciplinary action.

What I have outlined is the process of progressive discipline. Beyond this process, you need to determine whether the person is suitable or unsuitable for performing the given task, the support they receive from their manager, and the availability of adequate tools and materials. I recommend not jumping to conclusions.

Simultaneously, advise the employee's manager to invest some time in workplace coaching.
