Dear friend,

First of all, don't panic. Be brave. We are here to help you out. Okay.

Since you are the only HR in your company, let's just start with the basic functions of HR, categorized into 4 sectors:

1. Recruitment
2. Post-Recruitment
3. Training & Development
4. Administration

I will provide you with detailed information on the entire gamut of HR functions tomorrow. It's time for me to leave. See you tomorrow.

Dear Yamini,

Please list out your regular activities. Start working in the morning, an hour after the working hours begin, and complete task 1. The next hour, move on to task 2, and continue this pattern until the lunch session. Keep an interesting task after lunch so that you do not feel bored and can manage it even if you feel drowsy.

Plan according to your interests and proceed. It's okay to make mistakes. Only those who work can make mistakes. An idle person without any work cannot make any mistakes even if they wish to.

It's normal to make mistakes, but do not repeat the same ones. Learn from your mistakes whenever you make one. One day, you will become a perfectionist. Try making new mistakes; your wisdom will grow.

Hi Yamini,

I would suggest that you start by creating an organizational chart for your firm. This will help you understand the company's current hierarchy, identify any gaps (positions that need to be filled), as well as the different grades and designations within the organization. After that, you can familiarize yourself with the methods for managing leave and attendance, along with the company's leave policies.

Try to gather as much data as possible and get a good grasp of how your company operates. Don't hesitate to ask questions to the person you report to. Gradually, you will develop a clear idea of what your company is all about.

Next, focus on understanding the types of employees working in the company, including their qualifications and designations. Once you have a fair understanding, consider creating an employee handbook. This handbook should contain all the necessary information about the company, employment rules, leave policies, etc.

I hope this advice proves helpful. Good luck!

Hi Seniors,

Thank you very much for your valuable suggestions. I was really nervous, but your guidance will definitely make my HR world beautiful. I will keep your words in mind and never get nervous again in the future because I know you all are always here to guide me.

I have one more doubt: as the company is new and I am a new HR Executive of the company, is it required to give any sort of motivational guidance to my team via emails or PowerPoint presentations? Please suggest.

Thanks again!
Yamini.

Dear Yamini,

You first need to understand how the organization functions before starting any activity. By understanding, you need to get a hang of the power flow in the organization, your reporting, and his level.

The first few activities for any HR would be:
- Checking the Attendance & Leave management
- Understanding how salaries are processed (unless it's done by the finance dept. since HR doesn't exist there)
- Recruitment coordination (Most organizations start hiring HR for this major job of coordinating interviews)

Check which is the key requirement from your boss and start working on it. Once HR is seen, many jobs will keep adding to your never-ending list.

Welcome to the HR World.

Dear Yamini,

I am also new to the HR world with only 7 months of experience. What I would suggest to you from my experience is the first thing you should do is to create employees' files and maintain records in those files for each respective employee. As the company is new, you should establish the HR department and keep the data with yourself. Another important step is to start creating formats for different types of letters that you will need to issue such as appointment letters, confirmation letters, transfer letters, increment letters, and more. This way, you can kickstart your work. At the end of each month, ensure to keep records of new joinings and new recruits. I hope my suggestions will be helpful to you.

Kind regards,

Hi, I am also new to a construction company playing the role of HR/Admin. Since you are in the IT sector, I would like you to start daily work as follows:

1. Time office function like attendance, leave updating.
2. Recruitment update (positions vacant, how many positions need to be filled).
3. As per your company HR policy, proceed.
4. Ensure any necessary training for employees.
5. Handle joining formalities.

Please be specific if you have any doubts about particular aspects.

Hi Yamini,

Don't take tension; everything will go on smoothly. Just make a plan for all activities. Go through the following points:

1. First of all, discuss with your management people related to HR activities, prioritize which activities are essential, and accordingly make a plan.
2. Try to include all HR activities in your task list.
3. Take one activity at a time to work on and try to involve your management people in this process; it will help you go in the right direction.

I am also going through the same situation, but now I have two months of experience, so things are more settled. I have worked in the following order:
a. Organizational hierarchy formation
b. Reporting structure
c. Basic policies like leave policy, recruitment policy
d. Collecting employee information and maintaining personal files
e. Forming documents like offer letters...
f. Making changes in the payroll system and involving PF, ESI in the payroll system.

I have been working until now. Hope this helps you. All the best!

Dear Yamini,

As stated by Gayathri, before approaching your management, please list out the various activities of HR as per your preference and importance. Discuss with your management and seek their preference and priority. Then, you revise your plan according to the management's preferences.

To lead a peaceful stay within any company, make it a policy to "CONVINCE OR GET CONVINCED." Otherwise, you will always have problems in your organization.

Wishing you all the best.

With warm regards,

S. Bhaskar

Hi New HR,

Please try to follow the mentioned things:
1) Make a daily employee roster first, update it in one Excel sheet.
2) Improve rapport with your seniors so you can ask questions or give suggestions if any.
3) Create a proper tracker for employee leaves.
4) Establish a hierarchy tree.
5) Prepare a welcome kit for new joiners.
6) Understand the breakdown of their salary.

These are all basic day-to-day HR practices. Additionally, you should always strive to read extensively about HR, such as case studies and the latest trends in the HR field.

Since you are in an IT company, try to acquire a bit of technical knowledge, like understanding key terms in Java and core Java.

All the best and do well.

Warm regards,

Hi Yamini,

I know this can be daunting at first. However, you need to have an HR strategy in place, which would allow the business to achieve its strategic objectives. The first thing you need to do is to get yourself acquainted with the company's strategic direction, vision, and goals. To clarify or develop your HR strategy, follow this process:

1. Write down your goals with respect to people to support the company's strategic direction and goals.
2. Work out which strategy in terms of employer attitude (people vs. task-focused) and skill (people skills) best describe the current practice within the company.
3. Decide if the current strategy is best for the company or whether it needs to be changed.
4. Consider the staff you have available and your skills to determine how they match with your desired HR strategy.
5. Once you have identified your HR strategy, review the HR policies, procedures, and processes and identify any gaps. As you conduct this review, it is critical to look back at the HR strategy you have chosen and ensure that your systems and practices are consistent with that vision.
6. It is critical to remember that with every step you take, you need to take the top management of the company with you as well. Without their understanding of what you want to achieve and why, i.e., getting their complete buy-in, you're dead in the water.

Everything of the best,
