I have a unique case regarding ESI. Due to some reasons, the ESI process in my company was not normal. The ESI contribution list available with us is for the year 2009. Out of 100 employees, 46 employees are still present and having their ESI deducted, while the rest have left the organization.

The ESI contributions (challans) have been submitted until May 2010, but they do not include any employee list. The number of employees shown on the challan is 83. Since my joining in September, we have records of the employees for whom ESI is being deducted. However, we are unsure about the number of employees from June to August 2010.

Can anyone help me with this or suggest a way to resolve this issue? Thank you in advance.

Thank you for the response. However, the problem is that this company didn't have any HR-related processes in this organization. Previously, they used to pay a fixed amount of salary to the employees without maintaining any wages register or employee register.

Is there a way for me to obtain the records from the local ESI office? Any ideas?

If your case is critical, you can approach the ESI branch office concerned and request details of the employees and their ESI Nos. for whom you have submitted the Declaration forms. This step may help resolve your employee details problem.

Even if your HR was not efficient at that time, I believe your accounts department may have worked on and recorded wage amounts in your accounts package or books of accounts, which could potentially resolve your wage component issue.

Dear Mr. Mahipal,

Except for the existing employees, you may create a dummy record to reconcile the challan you have, as you do not need to concern yourself with the former employees. At the same time, you have also paid the ESI contribution. Therefore, please generate a dummy report based on the current employees and submit it to the ESI office.
