Hi,

Whether it is a mere change of the company name alone or a new company is formed and registered with a new CIN (Corporate Identification Number). If it is going to be a new entity, then you need to issue new appointment letters to the employees. For the purpose of Gratuity benefits, etc., you need to provide a service continuity letter to them.

Just write what you have told us, i.e. the company has changed its name, and employees are continuing their employment under the new name. Any other administrative changes that affect the employees should also be mentioned.

It is just a letter, not the great Indian novel. Writing skills, be it for letters, emails, or other documents, are part and parcel of an HR person's duties. If you do not have those skills, then it is time you learned them. Seek assistance from your seniors and ask for training to help improve your skills.
