Hello everyone,

I am working as an HR Administrator in an IT company. Recently, we had to terminate two employees because their performance was insufficient, and they did not adhere to company policies. Now, the issue at hand is that both employees were still within their probation period. Could anyone provide guidance on what type of letter we should issue to them?

First of all, let us know the termination clause during probation. Secondly, have you given any show cause notice for poor performance and not adhering to the company policy? Did you receive any explanation?

If a termination letter is issued that relieves you from the company, you have to settle the FNF, and no other documents are required.

FNF stands for Full and Final Settlement. Regarding the termination letter, please ensure that a show-cause notice is given, an explanation is sought, and review the termination clause beforehand.

Subject: Termination Letter

Dear Mr. _______,

This letter refers to the previous communication sent to you with the subject of Show-cause on ___2014. In that communication, we had explicitly instructed you to address your performance issues and your non-adherence to company policies. However, to date, you have neither improved your performance nor informed your supervisor of any challenges you are facing.

Due to your negligence towards your duties, Management has decided to terminate your services with immediate effect. The Full and Final settlement will be processed within 3 working days.
