Do you have a well-defined "Policy on Distribution of Gifts to Customers" in place? If you have a policy, has it been communicated to the staff? If the policy is known to the staff, why was the infringement of the policy not checked in the very first instance?
If you do not have a policy on the distribution of gifts to customers, then you need to design this policy first. You cannot directly jump to the warning letter. Policy is a way of delegating authority to subordinates. When designing the policy, include the following important points:
a) What is the present situation?
b) What are the criteria for a customer to become eligible to receive a gift?
c) Who is authorized to sign the gift voucher?
d) Who will maintain records for the distribution of gifts?
e) Who will send a daily report on the distribution of gifts for the previous day?
f) What will be the consequences if there is a transgression of this policy? What will be the penalty? Will the amount be deducted from the employee's salary? If yes, what will be the procedure for this deduction? Who will issue the debit voucher to the defaulting employee?
g) On special occasions like festivals, the criteria for gift eligibility may change. Who will change this criteria, and how will it be communicated?
