I would like to make an inquiry regarding warning letter.
I recently issued 2 warning letters and each of the employee are requesting to disregard it.
First case. Insubordination. After issuing the warning letter, the employee said he will do according to his supervisor's instruction. But he asked to disregard the warning letter. May I ask in what instance can we disregard a warning letter?
Second case. One sales staff brought his 2 year old son in the shop while on active duty. Also issued warning letter for that and asking the same as the first case - to disregard the warning letter and he promised not to repeat the same in the future.
For both case, I have informed them that we cannot take back the warning letter.

I do not know what you mean when you said " I issued warning letter"
Warning letters are issued by the concerned Manager or concerned Head of the Department. In other words Management issues warning letter.
HR signing such letters will create more issues. If you are in HR, and if those employees are not reporting in HR to you, then they can disregard your warning and claim a letter from his HOD. If the HOD lodges a complaint, the draft a warning letter and get it signed by the HOD and issue.
Please remember HR provides support role and not a control role in any organization. HR should implement systems for such control rather than controlling directly.
This response is based on my assumption that you are in HR and your statement " I issued warning letters" gives me a feeling that these letters were signed by you. It also gives me a feel that these letters were issued based on information received by you rather than based on a complaint received by the Head of Department
