I'm a new HR assistant. If anyone could help me to create a memo for our security staff to inform them about proper parking in our factory, I would appreciate it. Parking in front of our office is not allowed, however, both staff and visitors continue to park there and in the wrong places. I want our security staff to be vigilant in enforcing proper parking regulations. Your assistance in this matter would be greatly appreciated. Thank you so much.

Dear Glenda,

Rather than issuing a memo, I recommend that you talk to the security supervisor or officer and discuss with him. In a one-on-one discussion, prepare a list of the points on which he should take action. Let the command come through the proper channel for the security guards.

In that case, I recommend you create a Standard Operating Procedure (SOP) for them. In lieu of an SOP, you can also provide work instructions.

Avoid issuing a memo as it may carry a negative connotation. When creating the SOP, address the following questions:

a) Who will be responsible?
b) What are their tasks?
c) When are these tasks to be carried out?
d) Where should these tasks be performed?
e) Whom should they approach in case of resistance?
f) What resources are approved for use?
g) What level of authority do they have? What actions can they take without consulting superiors?
h) How does completing assigned tasks contribute to smooth operations and for whom?
i) Are there specific instructions for certain days (e.g., Monday, Tuesday, etc.)?
j) Are there instructions specific to holidays or festivals?
k) Are there any date-specific instructions?
l) Are there instructions specific to particular job roles?
m) Are there any exemptions?
n) Are there protocols for managing large gatherings of employees?
o) Will there be performance metrics? Who will assess performance and how?
p) Are there any reporting requirements? If so, who should reports be submitted to and how often?

I trust these questions cover the necessary aspects. It is the responsibility of your HR manager to develop this SOP. Hopefully, he will understand what tasks to delegate and which ones to handle personally.

Hi,

Mr. Devekar has guided correctly. Concerns of security are a serious issue, and security guards need to be provided with absolutely correct SOPs and, of course, the authority to act on security concerns. Nevertheless, I always wonder if security guards are compensated adequately so that they can execute their duties with a true sense of responsibility.
