I want to draft a letter instructing all staff members regarding their income tax deduction from salary and any provision made by them to save tax.
Is there any specific format for this. Please help me. It's urgent.

Go through tje following .. this might help
Dear All,
This is to inform you that the Investment proofs for the year 2010-11 should reach Accounts Department latest by 20th February 2011.
Also request you to make note on the following Points:
1. All proofs should be attached with the enclosed format file.
2. Do not forget to mention the Name, EMP Code (as per the pay slip), and Location, PAN Number & Gender (these are the mandatory fields)
2. LTA & Medical bills (If not submitted earlier/for balance amount) should be attached with the format
3. PAN Number (10digit) & Address is MUST for employees whose tax has been deducted.
4. Form 16 will not be issued until, unless the PAN Number information is furnished
5. Who ever is claiming both HRA and Housing loan benefit, should submit form 12C.(Form is enclosed with the mail)
Please feel free to revert back for any further clarification.
Requesting one and all to co-operate and submit the documents on or before the mentioned date.
Note: Applicable for employees working in India only
