I was designing a new employee code structure in my organization. Hence, I needed help. I went through a few posts here that did not quite solve my purpose. We have a strength of about 100 employees, spread across 6 locations in the country. The current system is a standard code followed by a serial number, e.g., for Delhi 11001, 11002, and so on. 001 for the oldest employee, 002 for the 2nd oldest, and so on.

My questions are:
a. Is this an appropriate way?
b. What happens to a number when the respective employee leaves the company?
c. If a company has a strength of around 100 employees, then is the code supposed to be restricted to 100 only?

Members, please guide, so that I can frame a proper yet an easy system of employee code numbering.

Hi,

I think this is the right way to give the employee codes. However, employee codes are not restricted to the total strength of the company as of the current date. For example, if the organization has a current strength of 100 people, their employee codes would start from 001 to 100. Now, if employee code 52 leaves the organization today and the management decides to hire a new person, then the new joiner will have an employee code of 101. The employee code database is essentially to maintain the employees' records as long as the organization is active.
