Dear All,
I am working with a ceramic factory, I am new to HR, we are counting the attendance for the period of 26 to 25 every month. But i do have one question ,
1) for the May attendance we calculated from aprl26 to may 25 i.e 30 days
2) for the month of June, we calculated from may 26 to jun25 i.e 31 days.
but as per records we have to show May 31 days and June 30 days only.
so, can we count the days like aprl26 to may26 for May and may27 to jun25 ???

Hi Vishwavanadh,
What i would suggest is that you take a standard denominator i.e. 30 days for calculating the salary and calculating salary every month from from 26th of current month to 25th of next month.

Just for the knowledge sake would like to know the logic of calculating from 26 to 25 & why not calender month? One reason could be giving salary on 01st or 2nd?

Hi Vishwavanadh,
Previously my company also flows the same pattern of salary cycle.
Whenever such type of situation arises we include 27th day of month so that it get will get adjusted with the law also.
Means for the month of may salary i.e. from 26 June to 26 May total 31 days.
And for the salary of June - 27 May to 25 June total day for the month of June salary will be 30.
I think that this will solve your problem and company also not fall under any legal trap.

Dear Vsihwanath,
For better handling of Attendance cycle you can consider base days as mentioned below :
If you are preparing the sal sheet for June (calendar days will be 30, but you should calculate for 31 as per your company cycle) and your cut off from May 26th to June 25th June. In this case you can presume the attendance of 26th June to 30th June as full present days for all and any absences in between you can update the same in next month cycle. But for this you need to send HR circular to all employees.

This is the tracking of your attendance system in this you can calculate the salary as per the days comes in a month the calendar should be prepare before year starting from jan to dec.

Dear Mahesh Mathur,
The reason for calculating salary from 26th to 25th is because there is sometime required for processing salary, leave, compliance checking, etc. which takes about 03 days or so depending on no of employees and compliances to be checked. Post that salary can be credited without any hitch to the employee accounts on 31 st or 01st . Thus there being no time delay in salary credits, at the same time payroll gets sufficient time to check accuracy, etc. Plus you need to get the required budgets approved prior to disbursement's.
This is usually followed in companies which have a strength of 100+ since its a lengthy process to do payroll.

The mentioned cycle would be attendance/leave cycle, the salary cycle would be same as salary month e.g. if it is June Month Salary, Attendance cycle would be from 26th May to 25th June and Salary calculated from 1st June to 30th June.

Dear team , how we calculate Feb month salary when we have 31 days attendance data and in month of March salary days are 31 and 28 days attendance data . please suggest me solution .

You can't this.
this can be done only for daily wages workers or contractual works, even you can't do for contractual employees too.
Its ok if count comes 30 days.
You go on as per days comes in calculation 30 or 31.
