so, i will require your opinion on how can tjis information be given to employees and in which format

Hi Shilpy,

This situation is very common particularly in time of uncertainties when the World Economy is in recession. From my perspective following are the some steps that a company needs to take while making a decision similar to the one stated in your message:

Buy in from all key stakeholders – A meeting should be organized with all managers and the situation should be presented to them and let them know that this is the need of an hour. List out the available options and ensure that all members present in the meeting are comfortable with the final decision. This brainstorming session will play a key role in taking buy-in from them who in turn will take a buy in from their team members. This will keep them a feel that they have also participated in the decision making process.

WIIIFT (What is in it for them) – Clearly list out the end objectives. Higher productivity will lead to higher bonuses.

Share Industry/Business news – Make people aware that if we do not take appropriate steps, company may loose clients. Many companies are being closed down; layoffs happening everywhere, clients are looking for higher rebates and having more viable options to get their work done. When times are are tough it demands for higher productivity and a way to manage things differently.

Dear Friend,
I agree with Mr. Rahul's inputs. Any change need to be well communicated and as a HR guy we should obtain the inputs of all critical employees failing which they won't own it and if the ownership is missing it is going to be a disastar hence better forward a communication fixing the meeting time and the agenda to all the above group. Intiate the discussion and drive them towards your opinion and obtain their acceptance and proceed accordingly, I believe these changes need to be communicated to the concerned statutory authorities also, if it is a manufacturing industry a 45 days advance information need to be given.
Just check, comply and implement.

I agreed on above advices but i think its need not to communicate in black and white because as u say u r in small BPO industry. but at the same time you need to communicate in verbal so all employees of your organization get now the actual situation of your company and being an HR your communicate at the time of World Economy is in recession employees are in loosing there jobs so defiantly your employees are helps u for come out from the situation and that work more than 8 hours.

2nd if u communicate in black and white you will have to pay various compensations according to various act applicable to your industry.

If this statement:

is reason for extending working days then ,I have following observations:

1. No mention of weekly or monthly basis.
2. If working days increase did that affects working hours resulting in Overtime.
3. What remuneration will be paid to employee for extra workload as stated.
4. Did you agree with "workload"? According to me this should not expressed it should be implied that will attract payment of wages/salary for extra workload.

Instead of this you should give reason:

Due to the operational requirements working days in week has beed rescheduled from 5 days to 6 days in week.

As a result of this working hours and timings will be adjusted as followes:

Shift timings of employees working in rotational shift will be intimated seperately with weekly shift change notice.

You know better what's exactly you have decided on above issues which I would like to draw your attention to be address.

These are merely guidelines only.....

Dear Shilpi,
These are the times when CEOs/Team Heads should be seen & heard most by the employees.
I think you can follow what I did in my Organization:
A small meeting of employees with the CEO himself where he expalined to them about the current scenario & what he expects in terms of contribution & endurance from each employee.
Post that meeting one mail was sent to all Team Heads for their cooperation on the same. The mail read as follows:

Dear (Team Head),
As you are aware of the prevailing economic scenario, we need to work as a strong & more efficient team to sustain & develop in the Industry. To a large extent the aim should be to stand apart in the Industry by not following the current routes (such as layoffs, etc.) which are so prevalent rather we will focus on being doubly efficient & putting in extra efforts. In sync with the expectations of the Management & also keeping in mind the need of the hour would recommend the following steps to be taken for development of the Organization:
  • <LI style="MARGIN: 0in 0in 0pt; COLOR: #333333; LINE-HEIGHT: 14.4pt">The team members should be candidly briefed on the expectations of the Organization in the tough times. <LI style="MARGIN: 0in 0in 0pt; COLOR: #333333; LINE-HEIGHT: 14.4pt">Out of turn appraisals should be avoided at any cost as it will add to the extra / unnecessary cost. As we are also trying our best to review & apprise those who fall under the normal review cycle. <LI style="MARGIN: 0in 0in 0pt; COLOR: #333333; LINE-HEIGHT: 14.4pt">Innovative methods of motivation (non-monetary) can be discussed & implemented.
  • Teams should be aware & convinced of the reasons for regular exercises (such as picnics etc) being put on hold (although temporarily) as we are trying to focus & combat the grave concerns.

This is an opportunity for the team members to show case their true potential & dedication towards their role.
