Hello All, I would want to write a formal letter to all employees regarding the helping staff. In Delhi, its very hot during the month of May- June. Temp has already risen to 39*C. All employees keep on sending the house boys to go outside to get them Breakfast/lunch/biscuits/chips extra.
Though it has been announced that they will go only thrice. Once for Breakfast, once for Lunch and once for evening snacks. But the staff never worries about the number of the time these guys go in this hot weather. Once they come back after getting lunch, someone would remember that he/she needs curd, or roti, or some vegetables.. something. How can I stop them!! :(

You never know what people have been through. Some people get everything they want with ease. Others work day in and out and still struggle in every way.

Dear Friend,
1. Office boy is an employee of the company to do the office work assigned to him as per his JD, he is not personal servant of any employee/s.
2. He is not under obligation to please other employee/s by providing them personal service.
3. There should be a clear & strict instructions from his Supervisor that he shall not do any errand for any employee including senior bosses also. He should be told in clear terms that if he is found missing from office due to personal work of any one, he will be marked absent.
4. in case he is doing errands for some senior people, juniors will also take advantage therefore clear guidelines should be issued to the office boy.
5. In case he starts refusing, the staff will start harassing by leveling all types of charges against him. so be careful and move slowly step by step.

Office boys are the most vulnerable set of employees.
Refusal to obey an employee can lead to problem.
So a strong message needs to be sent not to misuse them for personal jobs.
Tell the guard at the gate to log in-out the office boy as and when he goes during working hours.
Issue a circular to all departments about duties of office boys and a request not to misuse the facility of office boy in suitable diplomatic but clear language.
Subsequently corrective actions can be taken if the directive/circular is violated.

Dear madam,
Explore to change the responsibilities from the office boy and see if outsourced agency servicing this need can supply with its manpower. It will require organized effort- putting the mechanism of taking orders at a given time and servicing the employees within prescribed timings.
