WORKING RULES

The general timings of office are from 09.15 am to 06.00 pm., which is inclusive of 15 minutes of lunch break.

Lunch timings is from 12.30 pm to 2.00 pm for a maximum period of 15-30 minutes.

The company allows Flexi-timings between 09.00 am to 10.30 am, subject to an approval from Department Head / HR. (The employee has to put in minimum 8 hours of working everyday).

All employees are expected to be at the place of their work 5 minutes before the scheduled time and shall punch their cards / mark attendance as the case may be. This is obligatory at all levels except the directors and Executive Directors.

LATE COMINGS

As far as possible, late comings should be avoided. In exceptional cases, if an employee is to come late on any day, he/she should inform his/her Head of Department in advance and obtain his permission and inform HR Department for regularization of the attendance.

Non-Marking of Attendance which is not supplemented by any document, will be treated as ABSENT & LEAVE WITHOUT PAY.

Concept of late sitting compensation, overtime reimbursement, working on holidays and/or weekly offs, Compensatory offs etc. is not applicable.

PUBLIC HOLIDAYS

The employees are entitled to customary paid holidays that will be intimated by the Company at the beginning of the year and shall not exceed 10 days in a year.

GENERAL DISCIPLINE

These are certain rules & practices, which are required to be followed by every employee. These general discipline rules are listed as below :-

DO’s :

 Employees have to mark their attendance daily in the attendance Register at the security. This is applicable for all Grades. Employees not marking their attendance in the register will be deemed to be absent and the Human Resource Department will not be responsible for any deductions or leave records.

 Employees are expected to be regular in their attendance. If they are on tour/out door duty they should regularize their attendance within 2 days by informing HR about the same.

 Chronic absenteeism is discouraged and repeated absenteeism shall lead to termination of services. It includes absence without notice, frequent lateness and frequent periods of absence.

Employees shall be expected to adhere to the office timings. In case the employee has a need to reach office late or leave early, the Department Head should be intimated and prior permission should be taken and the same should be communicated to HR.

 Every employee is required to adhere to the security norms laid down by the Company. Identity cards should be always carried and produced if asked by the security.

 Employee shall be required to observe conduct and behaviour that is required in a Professional Organisation. Employees shall refrain from the following aspects of conduct and behaviour, failing which the act shall be regarded as misconduct and may even result into termination of services.

 Employees are expected to “Switch Off” the computers after use.

DONT’S :

 Being under the influence of drugs or alcohol on company premises or during working hours.

 Willfully damaging property or negligent damage of company property.

 Theft of property or information belonging to the company, it’s employees, visitors or customers, which would include obtaining unauthorized access to, revealing or using company information, such as financial data, marketing plans, technical designs or documentation, when not specifically authorized to do so.

 Furnishing false information on personnel records including applications, time cards and expense reports; entering false information on any company record; or entering information on records without authorization.

 Bringing or attempting to bring any firearms, explosives, flammable liquid or combustible mixture into a company facility or office without proper authority.

 Creating conditions that may be hazardous to the individual employee or others such as refusing to use safety devices; ignoring safety regulations; or carelessly performing a job.

 Failure to carry out a reasonable order of management.

 Failure to perform a specifically assigned work task.

 Selling any item on company premises; distributing literature in work areas; or posting information without authorization.

 Use of appliances, radios, or other personal equipment without authorization; using the workplace for personal or other non-work related business; smoking in non-smoking areas (smoking strictly prohibited in office premises).

 Engaging in or causing arguments with customers, vendors or other employees; harassment of customers, vendors or other employees; and misrepresentating the company with customers or vendors.

 Giving a company badge or identification to a person not entitled to it; entering or attempting to enter or assisting another person to enter a company facility, office or restricted areas without proper authority; and refusing to obey the instructions of a guard or security person on matters of safety, security and plant protection.

 Company’s properties like workstations, computers, and peripherals like printers/monitors, other equipments etc. are highly valuable items. Employees, therefore shall not shift such items from one place to another place or physically tamper with the equipments for reasons whatsoever on their own. In the event of such requirement arising, employees shall approach the IT Department officially.

 No personal visitor of the employee or the ex-employee is permitted to enter the office premises beyond the reception area.

 All employees should regularly keep a check on the disc space used by them and delete all temporary files. In case they fail to do so, the System Administrator cannot be held responsible for loss of data.

 Carrying floppy, CD or Hard Disk Drive outside the workplace is strictly prohibited, without special permission (both oral as well as written and approved by Head of Dept and HR) and security check.

 It is expected of all employees to help maintain the office décor. Employees clear out all files, stationery and personal articles from their desk area every evening before leaving for the day.

DRESS CODE

It is expected from the employees to present a clean and professional appearance when you represent the company, whether that is in, or outside of the office. Management, Sales Personnel and those employees who come in contact with our clients, are expected to dress in the corporate tradition (as mentioned below). The image of the company depends to a large extent on its people and the way they carry themselves both within and outside the company. It is very essential that employees dress formally and neatly and in a manner appropriate to the professional atmosphere of the organization. Well-groomed hair, decent personal appearance, proper attire etc. are a must.

 Dress code will be formal, suggested business shirts, light colour and dark colour trouser.

 Black/Brown colour shoes.

 Hair combed properly.

 Nails cut properly.

 All Lady Employees are expected to be formally dressed (Indian or Western). Jeans, T-shirts / Casual Attire are not permitted on any working day except on Saturdays.

 All Gents Employees are expected to be formally dressed. Jeans, T-shirts / Casual Attire are not permitted on any working day except on Saturdays.

 However TIE is compulsory for all the following Grades :-

Executive – Grade (Executive level)

MM- Grade (Middle Management)

SM- Grade (Senior Management)

TM – Grade (Top Management Grade)

The above is just an example.

I incorporated this at the onset (had included this in HR Manual) by designing a CODE OF CONDUCT - internal HR memo.
made copies and emailed it as well as sent hard copies to all dept heads for easy reference.
hope you agree on this aspect.
