You can ensure all relevant docs are collected within 7 days after offer letter has been released even if candidate will join in a month's time. Also, signup to free sms websites from which you can inform particular candidate regarding joining date/status or pending docs.
Also, prepare effective PPT with voice recorder of host and attach videos inside the slides during induction sessions to save time of HR.
