Dear HR Professionals,

One of newly joined employee came to office two weeks. He submitted Covid Positive report. We verified it with diagnostic centre.
They clearly stated the document is fake. what actions can we take against employee. he suppose to report on 12th June, 2023.
Now he is not responding to the calls or email.

Can any one help me with sample email plzz.

Hi,

As the employee is not responding to calls/emails I think he had absconded. You may wait till coming Monday and then serve warning letter to the employee. Please refer the following :

Dear

As per our Attendance records you are not reporting to office with effect from______

On____ you had submitted Covid Positive report issued by ____Lab . On a scrutiny of the said report we came to know that it is a fake report. This is Act of yours is a very serious misconduct as per the rules and regulations applicable to this Organization. Now you are not reporting to office without information. Our effort to reach over phone is not successful in spite of repeated attempts from our end. You are hereby directed to report to office forthwith on receipt of this warning letter failing which severe disciplinary action will be initiated.

Acknowledge receipt this communication.

What is the purpose for submission of the Covid report? Is it for leave or any other reason?

Check whether the person joined any other organisation? Sent the showcause notice to the residential address as absconding & not responding to any calls

Hi,

You need to follow disciplinary process.

In case of no response through Mobile then you may try to reach through email. In case of no response, warning letter to be served through Registered Post with Acknowledgement due. Provide the employee with sufficient opportunity to report back to work. If the employee fails to report on stipulated date then process for termination letter through Registered Post with Acknowledgement Due.
