Hi
Pls give me a solution for the below problem…
(The scenario)
In a company, where the entire HR Dept sits in the ground floor and other main dept sits in the 1st floor.. So that’s the reason the security guard placed in the 1st floor…
A candidate comes for an interview, the Executive – Recruitment coordinates with the interview process with the BU head, HR manager etc who are required in the panel…
And the interview is usually held in the ground floor conference room
(The problem)
The candidate who comes for the interview didn’t return the Visitor’s batch… and the Executive – Recruitment has not been informed about the completion of the interview.
How to overcome this problem??? Kindly provide me the View/solutions… So that the visitor batch is returned….

Dear Ilango,
The solution to your "problem" seems simple enough to me.
You say the security guard is placed at the entrance to the ground floor offices. If so, you can ask him to issue / collect the visitor's passes given to the candidates coming for interview in your offices. However, if he has already left the premises without your collecting the visitor's pass, you can call him up and ask him to send back the visitor's pass immediately. I presume since he has come for the interview, you have his contact details available with you.

I hope you didn't understand .. I clearly mentioned that the security guard sits in the 1st floor.... and not in the ground floor...
And the HR manager & BU head sits for the interview it's not their duty to collect the vistor's batch...
I hope am clear ... So any other suggestions...

If there are no other people available to collect the visitor badge then i do not see it as a problem if the HR Manager is to collect the badge. It isn't a very difficult task to collect a visitor badge is it? and I dont think whether it is a "Duty" matter....its about collective responsibility.

This definitely is an internal thing. If the HR manager is also a panel member, he is responsible for getting the card collected. Either he can do it himself or ask the executive to come for the formalities once the interview is over. Meanwhile, the candidate can be asked to wait for sometime.

How come you are giving visitor pass to candidate if he is coming on ground floor where the HR dept. is? Is the candidate going upstair to collect the visitor pass? If yes, then very strange.
What best you can do is ask the interview panel to go upstairs to take the interview if not then ask them to inform about completion of interview to Executive – Recruitment so that he/she can collect the visitor pass.
That could be the solution in my opinion.

I beleive someone gave out the vistor’s tag, the candidates should return it to same person. Or does he/she exit through another route?
