Hello every one,
I am working as an HR manager in an Interior Designing company , from last few months I am facing a problem that our organization given facility to all employees that if they working late so they can hire a cab for the reaching home cause of safety precautions, but now the employees hire a cab easily for going to any site giving lots of excuses of emergency work. ,how can I stop this on urgent basis

Dear Priyanka,

You may call all the employees and tell them the increased expenditure on account of transportation, especially transportation because of the late working hours. What was the expenditure before and what is expenditure now. Does the increased transportation expenditure justify the increased sales revenue?

Tell them to generate ideas on how to cut down expenditure. This participative management style is expected to maintain their motivation.

Late working is considered as a sign of loyalty in India. However, because of this loyalty factor, efficiency gets back seat. Why employees overwork? Have you done analysis of their overstay at the office? Generally employees overstay at office because of the following reasons:

a) Inadequate manpower

b) Lack of proper planning

c) Lack of coordination between/among the departments

d) Overlap or duplication of efforts

e) Procedural delays, approval delays

f) Customers allowed to be intrusive in internal processes

g) Turnaround time of various processes and sub-processes is not measured

Now you have extended the facility of cab drop to the employees. If you withdraw it without doing any kind of study, it may bring resentment and thereby demotivation. Therefore, before withdrawing the facility, please be cautious.

Thanks for the suggestion ,I appreciate your thoughts , but my company having Interior Designers and Site Engineers who have to visit the site on time to time on weekly basis.that come into their KRA . we also have labours on our execution site , due to check the labour daily work we have appointed site engineers but the quality work the designers and civil engineers have to go to the site and check the quality work , for this they can manage the Metro or the cheaper vehicle but they hire Cabs this expenses are high , I want to explain them that cut off these expenses in our hand only.
The team should understand that we are team and we all are working for an one organization , we all have to think for the organization growth not individually growth

Dear Priyanka,
In that case you need to fix certain percentage for the transportation cost out of total project cost. Project manager is responsible to manage this cost. As long as he is within limits of the percentage, everything is fine. Over a period of time, you can reduce this percentage.

<>> Please don't mind, I am very frank in my views, your suggestion that "they can manage the Metro or the cheaper vehicle," is quite like penny wise pound foolish. When you talk about KRA of the executive, you should also know that KRA is directly related to performance, not only of the executives, but also of the company. So, you want achievement of KRA from them but act like a miser about spending on their transportation to help them discharge their field duties & responsibilities efficiently to bring efficiency and productivity of the company.

<>> You may better review your own policy or your company should provide official vehicles to help them discharge their field duties and responsibilities. If you or your company want them to sit in the office and achieve the targets of KRA, then you should forget about their KRA based performance and ultimate productivity and profitability for the company.

Dear Mr Dhingra , I appreatiate your views , every one is doing job according to the KRAs but for the visiting site an Employee should think about the cost also, the organisation has given them facility to hire the cabs but if they hiring the luxury cabs that the cost of company , hope you understand what I am trying to say. for an example (If we can afford an Auto to visit it cost 150 if we hire a can it cost 400 but if we hire a luxury cab it cost 800-1000) this is the cost difference , we can reduce it. but if anyone want to make it larger thats means he or she is not working for company they are working for their luxury only.
There are two types of employee - delicately working employees or working employees, the employees work for their profit as well as company benefits so they must thing before doing any work but other employees work till office for 9-6 only.

Dear Priyanka,
In corporate world, we must not be penny wise and pound foolish. You have to weigh the pros & cons of the productivity vs the expenditure, not merely the expenditure. Economy is good, but should never be at the cost of efficiency.
You may howerver issue instructions for authorisation of different class of executives for hiring different types of transport according to their status.
