Hi, I wanted to understand, how to take care of mobile reimbursement of employees. We are a new organization and we have provided official sim card to employees for office work. As of now we have fixed a post paid plan and paying the bill every month. But can this is done in a better way like employee can claim the bill by filling up reimbursement form every month.

Please guide / share your input on incorporating mobile reimbursement policy.

Dear Pallavi Satpute,

If you have allotted the SIM cards to the employees, then the SIMs must have been registered against the company's name. In that case, where is the question of the payment of mobile allowance?

Choose an appropriate plan as per designation. As such domestic calls, national roaming, SMS and certain amount of mobile data are free. For every plan, there are fixed charges. If you receive a mobile bill that is over and above the fixed charges, you need to raise the debit note against the employee.

You need to apprise the employee about the plan benefits and issue a letter to him that excess charges will be recovered. Also if the employee fails to return the SIM card, then certain charges will be levied from the employee.
