Dear All In my store by staff are giving lot of gifts to our customers without my permission. i Need to stop this Please help me

Dear Sujith,

I recommend you writing the draft of the letter on your own and uploading it here. Some senior like me will correct it.

Do you have well-defined "Policy on Distribution of Gifts to Customers" well in place? If you have policy, then is it communicated to the staffs? If the policy is known to the staffs, then why the infringement of the policy was not checked in the very first instance.

If you do not have policy on distribution of gifts to the customers then first you need to design this policy. Directly you cannot jump to the warning letter. Policy is a way of delegating authority to the subordinates. For designing the policy, include the following important points:

a) What is the present situation

b) Hereafter what is the criteria for a customer to become eligible to get a gift

c) Who is authorised to sign the gift voucher?

d) Who will maintain records for the distribution of gifts?

e) Who will send daily report on the distribution of gift for the previous day

f) What will be the consequences if the transgression of this policy happens? What will be the penalty? Will the amount be deducted from the employee's salary? If yes, then what will be procedure for this deduction? Who will issue the debit voucher to the defaulting employee?

g) On special occasions like festivals, criteria for gift eligibility may change. Who will change this criteria and how will it be communicated?
