Hi All, We are an IT company, we have our internal HRMIS to record all the personnel file data of employees.
My question is - do we still need to maintain the physical personnel files of employees in addition to the digital file that we maintain, or can we do away with it?

Is there any notification related to this? where it specifies that physical personnel files need not be maintained if digital files are maintained.

You can maintain the digital mode of the documents where ever it is possible. Few documents like workmen register, Employment cards etc shall be maintained in physical mode. Even payslips for workmen category shall be issued on physical mode

Hi, In any litigation that arises about workmen disputes, courts call for original documents for evidence. It is good to keep documents for your future reference.

It is always advisable to have physical documentation apart from digital files.

If you ask a preference, I would strongly recommend to maintain all personnel records of employees 'permanently', duly updated periodically authenticated & verified..
