Hi, I sent an offer email to the candidate, but he didn't respond properly and I came to know that if a candidate receives an offer email, he may show the same, can ask hike, or can search for another offer by showing the given offer email. I want to warn him not to use the offer letter provided by the company and if he does the same, legal action will be taken. I need a format to send an email. Please give me an idea of how to make it an email.

Ok. You wanted to take legal action. But under the provisions which act? Before sending the notice, you should be absolutely clear whether the action of the recipient of the offer letter violates which law or act. Secondly, on the strength of your offer, if he bargains with some other employer, how will you come to know? Even if you come to know about his bargaining, he could still pretend his innocence. What means will you have to prove his slyness?

To avoid the predicament you are in, a few companies insert a covenant in the offer letter stating that if the candidate fails to join, then he/she is required to pay ₹_______ failing which legal action will be taken. The offer letter is signed by the employee in the presence of the future HOD.

Otherwise, a few other companies ask the candidate to deposit the educational certificates. If he fails to join, then the educational certificates remain with the company for five years or so.

The remedies mentioned above, I have heard from my participants. I have not implemented them personally. Therefore, before implementation, take a proper legal opinion from the practising lawyer.
