I am working as a Senior HR Executive in a manufacturing unit, and I am going to initiate some activities such as open house meetings, festival celebrations, employee appreciation, etc., in my company for the first time. I need some circulars to inform employees regarding the above-mentioned subjects. Could you send me some formats of circulars, HR letters, internal announcements, and inter-office memos, etc.? Dear Kaur,

So many of such circulars were posted by different veterans in this site earlier. Please search for such links, rather than asking for circulars. Try to prepare your own circular keeping your objective in mind. Probably, during the initial attempts you might have to redo that a couple of times. That's good. Try yourself. You can win.

Thanks for your advice, but it didn't help me out. I know that there are various circulars posted on this site. As a member of this site, I can easily explore the circulars here too. I have various circulars, notices, etc., that I have obtained from other sites, but I believe that everyone has their own views and ideas related to them. So, I wanted to share that only.

Circulars/Memos are information shared by management with employees, so the language needs to portray the culture you have/would like to have. You need to draft and check with seniors on the message it is portraying. For example, in BPO/IT companies, you can use lots of pictures/icons and use informal, fun language. In some companies, there is a very strong hierarchy, and you need to word your mail accordingly.

Apart from this, such mail usually has three parts: an opening line on the objective, a second paragraph on what the activity is all about, and lastly, how employees can participate, rules, etc. Informally contact employees about the effect of the mail and ask for feedback.
