We appointed an HR executive in our company, but due to transportation problems, she is unable to travel 30 km from her house to the office. She really wants to work with our organization, especially as we have decided to shift the location from Langar House to Gachibowli. However, she is requesting to join once the office is moved to the Gachibowli location. Unfortunately, we have an urgent requirement and cannot wait until she joins. How can we write a convincing email that we are looking for an alternative?

Instead of trying to be convincing, you could write bluntly and candidly that unless she reports, you will have no option but to look for an alternative. The reason given for delaying joining is not at all convincing. After all, Langar House is not the other part of the world and a distance of 30 KMs, maybe the commuting time of 45 minutes to one hour, cannot be seen as excessive. If she is unable to make this adjustment for a short period, probably she may not be worth it.

If identifying a candidate is challenging, you may wait. Otherwise you can inform her and look for replacement

If you believe that an employee is a real asset to the company and you don't want to lose the employee, make arrangements for her transportation. If she refuses to come even after this arrangement, then look for a replacement.

Dear Anonymous,
Kindly provide more details about the scenario. You have mentioned the present and the new locations, which are around 13 to 18 km apart, with a 30-minute car ride between them. If you state that she lives approximately 30 km from the current office in Langar House (Houz on Google Maps), one would infer that she resides about 12 km from Gachibowli.
Could you please inform us of when you will be relocating to the new location? Without knowledge of her family commitments, it is challenging to determine if her request is unreasonable. However, if your need is urgent and you can easily find a replacement, you should notify her that you cannot wait and that you are withdrawing the offer, proceeding to appoint another candidate.
Thank you.

Dear,
What I understand is that you are shifting your office to a new location!
If correct:
1. You must inform all your employees about the change of location/operations.
2. You must give them a minimum time to opt for their choice.
3. If any employee is not willing to relocate, he may be relieved from the service as per your company norms.
4. For all those employees willing, you need to give them two weeks of joining time to make their arrangements.
5. If anybody opted to join and does not join by the stipulated time, they can be terminated as per the company letter served to them before shifting.
Hope I am clear!
