I am unable to update KYC for many employees on the new unified ECR portal. When I try to upload it, it shows that the Date of Joining (DOJ) is missing, and you cannot upload KYC for this employee.
Sir, there is no option to update the Date of Joining for old employees. How can this be done? Can you suggest a solution?

Wait, wait, wait. The system is undergoing an upgrade and will take its own time to restore. ESIC and EPF both portals are now being merged with the Shram Suvidha portal (unified). So, when the employer completes the formalities of verification of Shram Suvidha, all employees should be added there. At that time, all missing data, modifications, or alterations can be made.
With that site, ESIC/EPF both ECR can be filed in a single go. The site also maintains more than eight labor department returns. Therefore, there would be no hassle to file each return on a separate portal.

EPF is UAN-based, and there is no scope to keep it idle. An employee has to get it transferred to his/her present active account; otherwise, it would be treated as "unclaimed" and would go to the welfare fund. One employee cannot hold more than one UAN.

Till now, no option has been provided online to add missing details. It can only be done manually by writing a letter to the PF commissioner on the company letterhead regarding the addition of missing details of employees.

To update the missing details, write a letter to EPFO, SRO, or RO. Make a full list and mention the missing details there. Check carefully with the Aadhaar data and PAN data. Submit the same to your PF office. They will update the same in approximately two weeks. Change of name is a separate procedure.
We are facing the same problem in PF. One employee who left our company on 02.01.2017; now we have to exit the same. However, I am not exiting this because this employee's date of birth is missing in the Unified portal.
According to the missing data, we have to send the data to the PF office, missing option-wise (i.e., DOB, DOJ, Father's name, Marital Status, Qualification, Gender, relation, etc.).

If the employee joins somewhere else, it will get updated by that employer and will be updated in your login as well. If the employee opts to withdraw the funds, then the department will update the missing details before the settlement of the claim.

Merely submitting a request by the employer for an update is not effective. If the data differs even slightly from what is maintained in their Form 9 records, the entire application is rejected.

Alternatively, there is an Annexure available on the EPF website after the 21st of each month. Please download and fill in the missing details. Uploading it in the same format or submitting it to the respective EPF office will resolve the issue.
