Dear Seniors,

I would like to inquire about the process when an organization, covered under ESI and EPF, is being shut down by its owners or directors. How should the information regarding the closure of the organization be communicated to ESIC and EPFO? I appreciate your valuable suggestions on this matter.

Just write to the authorities that it is closed.There is no prescribed form. Varghese Mathew

Dear member,

Only a simple letter stating the organization is closing down will suffice. But before you send an intimation to the authorities, please ensure the following to avoid any future hassles:

1. Contribution of employees as well as employers is deducted and deposited until the date of the organization's closing, and a copy of the challan is attached with the letter.
2. If there are any contractors, ensure that the contractor also complies with the contribution requirements. Issue Form VI-B to the contractor and inform the labor department as well.
3. If you are a manufacturing set-up, then also enclose the copies of the surrender of the factory license. In case you are an establishment under shops and establishments, then enclose the registration certificate. Also, surrender the Contract Labor Registration Certificate, etc.
