First, please let me know if you have any specific policy regarding wearing ID cards properly at all times during work hours or what kind of attendance/punching system your organization uses.

The very first and important question is why do we use the system of "Wearing ID Card at Work"? The image of the company is important to us, as well as complementing the image of the clients we work for and ensuring that everyone within the company looks professional and conforms to the highest standards of dress code, presentation, and personal conduct, etc. The ID card system is a part of maintaining these standards.

Do you have the following policies in your organization:

1. Uniform and dress code policy
2. Employee Conduct Policy
3. Employee workwear or Hygiene Policy

If not, please create these policies and inform your employees so they can adhere to them. Also, please ensure to check the attendance/punching system through their punch/ID card.

You also need to include a clause in the policy for supervisors or assign this responsibility to a personnel to periodically check whether an employee is wearing their ID card or not.

Dear Trupti, You just need to make this as an mandatory act/policy for an employee and being a HR make sure that each and every employee adhere to the newly formed policy.

Dear Trupti,

The best possible option is to put a door lock that opens only through an access card. On the day when an employee forgets to bring his card, they will have to inform HR first. If there is security on the door, give strict instructions that the door should only be opened by an employee's access card.

Slowly, a trend will form. You cannot expect a change soon, right?

Hello Trupti,

I achieved very good results by introducing an Access Control System in my office. In this system, each employee is assigned a Proximity ID Card with predefined access rights to each door. Therefore, if someone does not use his card, he will have to request someone else (who has access rights to that particular door) to open the door for him every time he wants to pass. Since it can be embarrassing to ask other colleagues for such a task, everyone spontaneously uses their ID card for convenience.

This approach might also be beneficial for your organization!

First, you need to conduct an awareness session for the management about the importance of wearing ID cards in the workplace and secure their support. Then, you can develop a company policy regarding ID cards as part of the organization's dress code. Educate the company's security personnel to prevent any employee from entering the office premises without their ID card. This policy should apply to all staff, including senior management. Therefore, it is crucial to obtain management support before implementing such a policy.

Hi all,

I agree with all the opinions above. Really, all of them are great. However, I would like to add just one thing: as an HR employee, Mr. Truptiprasad is responsible for handling this issue. Therefore, you can take a supervision round all over the sections inside your company. If you find anyone not wearing their ID, you can give them the suitable punishment. It is all back to the internal policy!

Greetings, everybody.

First of all, why is it important to wear an identity card? If the ID card is for access control, then I think everybody should be wearing/carrying it. Generally, an ID card is used for identification purposes, especially when representing the company at a client's place. This way, the client can be certain that the person is from the specific organization. Whenever an employee is representing the company, they MUST display their ID card.

However, when the employee is within the organization, is it required that they must display their identity? Personally, I don't think that is necessary, especially if the size of the employees is small and everyone recognizes each other.

Guys, this is my personal opinion. Please share your thoughts on this.
