Dear Seniors, I have asked for a confirmation letter from the organization and they have provided me with soft copy, upon asking for hard copy they have mentioned that it is company policy to provide a soft copy. Is soft copy valid, can I quote them any law which states that hard copy on company letterhead is a must for all or any communication to the existing or employee? Please help.

HI, Soft copy is valid till the time it is on letter head and signed by the authorised signatory. Also, it should have come from the companies official ID.
Mr Kamble is right if the appointment letter carries in;
1. Company letter head
2. Signed by the competent authority
3. Official seal
4. communicated from company official ID
If any thing is missing can not have legal sanction.

Many companies has the policy to prepare a latter with authorised signatory and stamp and then rather than issuance of hard copy to employee that copy goes to file and scan copy / soft copy of the same is been sent to the employee on email or on online personal portal of the company.

It is presumed that Employee has received Hard Copy of Appointment letter duly Signed by Appointing Authority.Consequently, Confirmation letter should also be issued in Hard Copy duly Signed by Authorised Signatory.

If you have received a communication expressed in the form of an email, you no need to worry. Also there is no point in worrying much about - whether you got one in letter head with seal and signature of the letter head because a good number of companies are stopped issuing even offer letters, performance reviews, payslips etc. in hard-copy format. If you are having doubts about the integrity of the organisation (if the management fails to get your trust in the activities and their leadership), any validated occurrences where management breached contracts with employees/customers etc., then time up for you to search for a new job.
If you believe you are in a good company, getting salary in time, reasonably good work ambience, good ecosystem to learn etc., stay happy.No need to worry about hard copy of confirmation letter (salary credit in your bank account itself is evidence that you are working and paid by the organisation).
