Hello Seniors,

I am working in a company with 3 offices in different states of India. All the offices are preparing pay separately and hence have taken separate EPF registrations. In the present scenario, it is not feasible to maintain different registrations with EPFO as a lot of employees are moving from one location to another.

I request seniors to provide the pros and cons of centralized EPF registration and the process for centralized registration. Additionally, could you shed some light on whether centralized registration is a better option or if managing PF internally, as done by some big corporates, is more effective? (Our employee strength is approximately 500 at present).

If you are making compliance under the EPF and MP Act for different states as you have mentioned, presently the members of the scheme will face problems regarding the transfer of their PF accumulations from one place to another. In a short period, it will be possible to make compliance at a single point when all the functions of the centralized will take place in EPFO. Currently, the settlement of PF accumulations and the transfer of funds from one account to another are not centralized; hence, the members will face a lot of problems at present. Kindly wait for a favorable time to come, and accordingly, you will be able to surrender the extra code number and will be able to make compliance at a single code.

Dear Mr. Bhatia,

Regarding your query on the subject above, you can centralize PF Registration at one point for your branches located in different states. In this regard, please submit the details in Form 1 along with the list of your branch employees to obtain the PF Code Number. Additionally, approach the Regional Provident Fund Office (RPFO) in your area for guidance and advice.

Dear Mr. Rao,

With reference to your query regarding the above topic, individuals who are listed in Form 9, which serves as the Base Record containing details of employees with Specimen Signatures for Authorized Persons, are required to be submitted to the EPFO Office after the allocation of the PF Code Number. Additionally, the company must have passed a resolution during the Board Meeting to nominate an individual who is authorized to receive notices and represent the Management. This nominated person will be deemed authorized to sign Form 19 & 10C.

You can centralize EPF to your HQ. Allot a separate account number to employees of other units under the code number of HQ. Transfer the PF accumulations of them to the new number by Form 13. Discuss the matter with RPFCs also.
