Hi everyone,

I have just joined a company 2 months ago as an HR Manager, where my role was supposed to focus solely on recruitment. However, after starting, the boss has requested me to prepare salaries for the employees department-wise. Unfortunately, I lack the knowledge and experience in salary preparation. Today, I am required to generate the salaries so that they can be distributed tomorrow. I do not have anyone here to assist me, and the company does not possess the necessary software to automate the salary preparation process and generate salary slips.

Please help, as this is urgent.

Hi,

You don't need to do extra; you can find out the format of the salary sheet and others on Cite HR. For your basic knowledge, you can use this:
- PF Employee: 12% of Basic Salary
- ESIC Employee: 1.75% of Gross Salary (up to 15000) where washing allowance is exempted.
- PF Employer is 3.67% & 8.33% in pension fund; admin charges are 1.61%.
- ESIC Employer is 4.75% of Gross salary (up to 15000) where washing allowance is exempted.

Hi,

Payroll is the sum of all financial records of salaries, wages, bonuses, and deductions. Payroll refers to the amount paid to employees for services they provided during a certain period of time.

Ask the boss who was handling salary until now and how it is being prepared. You cannot manage it in one day if there is no system for it. You would need the details of the salary structure, the salary of each employee, the deductions, etc. It also involves statutory compliances.

It will be of immense help to bloggers if you give more details about your organization: how large is it; for how many people have you got to prepare and pay salary, who was doing the job before, and whether he or she is still employed in the company, etc. As (Cite Contribution) has rightly pointed out, whether you can prepare it within a day depends upon the number involved.

First of all, get the attendance register and the list of duty timings of an employee. For example, Employee A has a 9-6 job. You need to calculate his salary for the month of May. Now, check the attendance register to see if he is arriving at 9 am and leaving at 6 pm daily. If there is a half-day, mark it as such. If it's a full-day leave, mark it accordingly. According to your company's leave policy (if one leave is allowed in one month), grant the leave and pay for the days worked with no half-day or only one leave. Additionally, enforce the late coming policy.

You can also verify employee attendance by cross-referencing the gate register with the reception attendance register.

Payroll is a software that is installed on your system. You just have to log in. What the software really does is calculate the salaries of employees in large industries and perform other HR-related tasks such as attendance tracking. To the best of my knowledge, this is what I know.

Hi,

First of all, you need to let me know if you are processing payroll with the help of some software (SAP) or manual. The basic requirement of payroll is 100% accuracy in attendance calculation. The entire payroll is based on it for both automated and manual cases.

Hi Pooja,

I think what Avaika has mentioned is right. Whoever was handling salary first in your organization, it is better that you consider the same with him/her and only then prepare the payroll.

First of all, if you were only told to do recruitments, then why are they asking you to prepare the payroll?
