Dear Raj,

The main function of the Security Officer, as the name suggests, is to provide security for a safe working environment inside the factory premises. Since factories are located away from the main city/town or in remote places, the security of the employees becomes very vital. In addition to this, the factory, being an economic center, also attracts various antisocial elements and local leaders for money and employment opportunities. Hence, a good rapport needs to be built up with the Law Enforcement Authorities. The Security Officer is supposed to maintain all of these. This is not only limited to factory premises but also extends to company-provided accommodations/colony if they exist.

The other function is to look after, control, regulate, and keep records of the entry and exit of all personnel, materials, and vehicles in the factory and in the employees' residential colony. In some companies, along with Personnel/HR/IR, the Security Officer also looks after facilities management.

Job Description for Security Officer:

- Will head and regulate all securities.
- Should coordinate security for two factories and one head office.
- Should know about fire and emergency rescue systems.
- Should be responsible for all material inwards and outwards.
- Should be responsible for visitors' in-out register and on-duty register.
- Should handle all inwards and outwards couriers/postages.

Dear All,

There are no boundaries for the security officer to perform. Do not restrict your security officer to only safeguard the property, men, and material movement. This is only a part of his duties. Do not take for granted that all the security officers know something about fire fighting. Even then, this knowledge is not sufficient to prevent fires from occurring. The recent Lal Bungalow fire in Hyderabad, where some BPO and call centers were totally destroyed, resulted in very high losses. Ensure that your security officer truly understands the behavior of different types of fires and how to fight them. Involve your security officer in training all your employees and others in fire fighting techniques and how to prevent fires. Ensure that fire fighting training is taken seriously by all. Formulate written procedures and have them audited by third-party experts.

If you can utilize your security officer properly, he is in the best position to maintain good rapport in and around industrial places. This will help maintain peaceful conditions and ensure uninterrupted industry operations. He can serve as your liaison officer and as an implementation officer for your corporate social responsibilities. Due to the experience gained from working in various environments and industries, he can be your advisor on many issues. Kindly utilize your security officer to his fullest capabilities.

• SECURITY OFFICER / SUPERVISOR

o The main role of security is to protect the life, property and information from all kinds of losses. The security supervisor should analyze all the risk factors and initiate preventive measures strategically, in order to prevent any such losses. Shortly the main aim and objective of security is “TOTAL LOSS PREVENTION”.

o He should thoroughly understand the Asahi India Glass Ltd Physical Security Policy and Procedures.

o He should maintain all the records and documents as per the templates recommended in the AIS. Also he should ensure that all the records and documents are classified and authenticated.

o He is responsible for the physical means of protecting the property and should be very alert for proper guarding against thefts, pilferage, accidents and intruders.

o His oral and written communication should be very good and he should be able to give instructions clearly and firmly.

o He should be polite with the Employees & Guests however without a compromise on security delivery.

o He should be well verse with Telephonic etiquette’s and abide by security norms while conversing on telephone so that no confidential information are divulge.

o He should maintain and update all the documents on a daily basis.

o He should maintain all the key register properly and shall secure the keys properly in the cabinet.

o He should maintain a very professional relationship with all service providers.

o He should carry out an internal patrol at least twice during this tenure of duty.

o He should maintain visitors register properly.

o Any emergency situations, accidents, break in attempt, theft, or any other physical crimes should be immediately communicated to HR & Admin dept.

o He should ensure that the search of baggage of employees is carried out effectively. He should also ensure that all the service providers are aware of the security instructions and should issue Security Guidelines pamphlet to all the service providers.

o He should plan and execute, specific Loss Prevention Programs to prevent / minimize thefts and losses.

o He should establish an efficient Intelligence Sourcing and information gathering and thwart any loss / damage.

o He should ensure that all the guards are aware of their post and site instructions.

o He should high light emergency risk factors, if any to his superiors immediately.

o He should provide the escalation matrix of guarding company (land line and mobile numbers) to all the guards. It should include the contact numbers of SO, ASO, and BM.

o Critical Contact lists (Fire Brigade, Police, Hospitals etc.,) should keep at the Main Gate and should be reviewed on a monthly basis.

o He should provide the escalation matrix of AIS (land line and mobile numbers) to all guards. (It should include the contact numbers of HR & Admin).

o He should be aware and keep in hand all the Internal and External Emergency contacts.

o He should clearly understand that “TOTAL LOSS PREVENTION” is the main aim and objective of the security department.
